Privacy Policy

FleetDecker is dispatch and truck-tracking software for small trucking companies. This policy explains what information we collect when carriers, dispatchers and drivers use FleetDecker, why we collect it, and who we share it with.

Who this covers

Each trucking company that signs up (the carrier) controls its own workspace. The carrier decides who joins, what loads, customers and documents go in, and which drivers are tracked. We store and process that information on the carrier's behalf.

Information we collect

  • Account details: name, email address, phone number, password (stored scrambled, never readable) and your role in the company.
  • Company records: loads, stops, customers and brokers, rates, invoices, driver pay, trucks, trailers, notes, messages and check calls entered by the carrier.
  • Documents and photos: rate confirmations, bills of lading, proof-of-delivery photos, receipts and other files uploaded by staff or drivers.
  • Driver location: while a driver has the FleetDecker driver app open, the phone shares its location, speed and heading with the carrier. Location is also used to confirm check-in and check-out at stops.
  • ELD data: if a carrier connects an electronic logging device (such as Samsara or Motive, or another ELD through TruckerCloud), we receive vehicle locations, vehicle details and hours-of-service clocks from that provider.
  • Technical data: browser and device type, pages used and error reports, so we can keep the service running.

We do not collect Social Security numbers, dates of birth or bank account details for drivers.

How we use it

  • To run FleetDecker: show trucks on the map, dispatch loads, track stops, prepare invoices and calculate driver pay.
  • To read uploaded rate confirmations automatically and pre-fill new loads (you always review the result).
  • To keep accounts secure, prevent misuse and fix problems.
  • To contact you about your account and important changes to the service.

We do not sell personal information, and we do not use it for advertising.

Who can see it

  • Inside a company: owners and dispatchers see their company's records. Drivers see only loads dispatched to them and their own pay, never customer rates or margins.
  • Other companies: never. Each company's information is kept separate.
  • Service providers: companies that help us run FleetDecker, such as hosting and storage, map display, AI document reading and the ELD providers a carrier chooses to connect. They may use the information only to provide those services.
  • Legal reasons: when required by law, or to protect the safety of people or the service.

Location sharing for drivers

Driver location is shared only while the driver app is open and the phone's location permission is on. Drivers can turn location off in their phone settings at any time, though check-in at stops may then need a dispatcher override.

How long we keep it

We keep company records for as long as the carrier's account is active. When a carrier closes its account, we delete or anonymize its records within a reasonable time, unless the law requires us to keep them longer. Disconnecting an ELD deletes its stored login keys.

Security

Information is sent over encrypted connections. ELD keys are stored encrypted, and uploaded documents are kept in private storage that only the company's staff can open. No system is perfectly secure, so please use a strong password and keep it private.

Your choices

  • You can update your name and phone number in Settings.
  • Drivers can ask their carrier to correct or remove their information. Carriers can ask us to export or delete their company's records.
  • Depending on where you live, you may have extra rights to access, correct or delete your information. Contact us to use them.

Children

FleetDecker is a business tool and is not meant for anyone under 18.

Changes to this policy

If we make important changes, we will update this page and let account owners know.
